This Privacy Policy explains how Tatvarth Systems LLP ("Tatvarth Systems", "we", "us") handles personal data through AnnaSutra, our catering planning app for mobile phones. It follows India's Digital Personal Data Protection Act, 2023 (DPDP Act). It covers AnnaSutra only. Our website is covered by the company Privacy Policy.
The short version
AnnaSutra keeps your business data on your own phone. There is no account, no sign-in and no AnnaSutra server that receives your events, menus, customers or suppliers. We do not run advertising or analytics inside the app, and we do not sell data. The rest of this policy explains the details.
Who we are and who controls what
Tatvarth Systems LLP builds and publishes AnnaSutra. The data you enter into the app, such as your events, menu, recipes and the names and phone numbers of your customers and suppliers, stays on your device and is under your control. You decide what to enter, why, and who to share it with. For that data you act as the Data Fiduciary under the DPDP Act, and we do not receive or process it.
We act as the Data Fiduciary only for the small amount of personal data you choose to send to us, for example when you email us for support or to ask about plans. That is described below.
Data that stays on your phone
When you use AnnaSutra, the app stores on your device:
- Your business profile: business name, your name, email address, mobile number, city and, if you add one, your logo.
- Your menu: dish groups, dishes, ingredient groups, ingredients and recipes.
- Your suppliers: names, mobile numbers, addresses and notes.
- Your events: event and function details, guest counts, dates, venue, status, notes, and the customer's name and mobile number.
- Your choices: app language, usual suppliers, quantity changes and supplier notes.
- The start date of your free trial, kept in your phone's secure storage.
None of this is sent to Tatvarth Systems. If you add personal data about your customers or suppliers, you are responsible for having a lawful reason to keep it and for using it only for your catering business.
What you send to us
We receive personal data only when you contact us. The Contact us option in the app opens an email on your phone that is already filled in with your business name, your name, your mobile number and your city. Nothing is sent until you press send in your own email app. We use these details to reply to you, to set up a plan for you if you ask for one, and to keep a record of our conversation.
Permissions the app uses
- Internet access. Used to check for app updates through Google Play, and to fetch fonts when an order list PDF is created while you are online. It is not used to send your business data to us.
- Vibration. Used for small touch feedback.
- Photos, only if you pick a logo. The app opens your phone's own photo picker so you can choose a business logo. It sees only the single picture you select, and keeps a copy inside the app. It does not browse your gallery.
AnnaSutra does not ask for your camera, microphone, location, contacts or notifications, and it does not read your messages.
Third parties and sharing
We do not sell or rent personal data, and the app contains no advertising or analytics tools. A few outside services touch the app in limited ways:
- Google Play. You download and update the app through Google Play, and the in-app update prompt uses Google Play's update service. Google handles its own data under its own policy.
- Google Fonts. When an order list PDF is created while your phone is online, the PDF layout may request fonts from Google, which can see your IP address and device details as part of that request. Offline, the app uses fonts already on your phone.
- The app you share with. When you send an order list to a supplier through WhatsApp, email or another app, that app and the person you send it to receive the PDF. Their handling of it is governed by their own terms and policies.
We may disclose information if the law requires it or a court or authority lawfully orders us to.
How long data is kept and how to delete it
Data on your phone stays until you remove it. You can erase everything in the app from Settings by choosing Delete all data, or by uninstalling AnnaSutra. Because the data is not stored anywhere else, deleted data cannot be recovered by us. The app does not back itself up to the cloud, so if you lose or reset your phone, the data on it is gone.
On some phones, the record of when your free trial started may remain after you uninstall, so that reinstalling does not restart the trial. It contains dates only. Emails you send us are kept for as long as needed to help you and to meet our legal and accounting duties, and then deleted.
Security
Your data is protected by your phone's own security, so set a screen lock and keep your phone updated. The trial record sits in the phone's secure storage. No method of storage is perfectly safe, and we cannot protect data from someone who has access to your unlocked phone or from messages you share with others.
Your rights
Under the DPDP Act you have the right to know what personal data we hold about you, to correct or update it, to have it erased once it is no longer needed, to withdraw consent you gave us, to have a grievance addressed, and to nominate someone to exercise these rights if you die or become incapacitated. For AnnaSutra, the only data we hold is what you have emailed us. Write to us and we will act on your request.
If you are a customer or supplier whose details a caterer has entered into AnnaSutra, that caterer controls that data and holds it on their own phone. Please ask them directly. You may also complain to the Data Protection Board of India once it is operational, after raising the matter with the Data Fiduciary first.
Grievance Officer
Darshan Chobarkar, Grievance Officer, Tatvarth Systems LLP. Email privacy@tatvarthsystems.com. We acknowledge grievances within 48 hours and aim to resolve them within 30 days, and in any case within the period the law allows.
Children
AnnaSutra is business software for adults. It is meant for people aged 18 and over, and we do not knowingly collect personal data from children.
Changes to this policy
We may update this policy as AnnaSutra or the law changes. Before we add anything that changes how your data is handled, such as cloud backup, accounts, syncing between devices, analytics or in-app payments, we will update this policy first, tell you inside the app and on this page, and ask for your consent where the law requires it. For other material changes we publish the new version with a new effective date and version number at least 14 days before it takes effect.
